A note from Danny

I built CredentialPrep while going through my own MCC application. I know exactly how personal a coaching session transcript is: that's someone's real client, someone's real work. That's the reason this policy is written in plain English instead of legalese, and it's the reason I keep the vendor list short and boring.

Here's what I promise, in my own words:

• I don't read individual users' transcripts.

• I keep your transcript for 30 days after it's scored so you can come back to it with the Evaluation Tutor, then I delete the full transcript, unless you switch on "Keep my transcripts" in your account. Your report stays, along with the lines it quotes from your session as evidence.

• I don't sell your data, ever.

• I don't share it with anyone outside the vendors on the subprocessors page.

• If any of that ever changes, I'll email you before it takes effect. Not after.

Danny Ghitis, PCC

1. How your data is handled

I don't read individual users' transcripts. That's a promise about how I run this business, not a claim that it's technically impossible. If we ever need to look at your data to help you debug a specific issue, I'll ask you first.

We keep your transcript itself on our servers for 30 days after it's scored, so you can come back to it with the Evaluation Tutor. Then we delete the full transcript, unless you switched on "Keep my transcripts" under Account, then Privacy. If you did, we store the full transcript of each evaluation you run after that until you delete it yourself, which you can do any time from that evaluation. Your client's permission for the evaluation does not cover this longer storage, so keeping it is your own choice. Your report and scores are not affected either way. Your report stays, saved to your account under Past evaluations, and it keeps the lines it quotes from your session as evidence, since that's how you keep and revisit your own evaluations.

Your reports are not sold, and not shared with anyone beyond the vendors needed to run the service: Anthropic for AI processing, Supabase for storage, Resend for report emails, Loops for other account email, Stripe for payments. None of them use your data for their own purposes.

We use Anthropic's commercial API, which under their current terms does not train on customer inputs or outputs. See Anthropic's commercial terms at https://www.anthropic.com/legal/commercial-terms for the current policy.

2. What we collect

CredentialPrep collects your email address, which is used to verify your subscription tier and send relevant product updates via Loops. It also stores the transcripts, audio and reports you choose to submit, as described below. We do not collect payment details (handled by Stripe).

When you are signed in, our own database also records how you use the site: your quiz answers, your practice answers and scores, the coaching hours you log, the evaluations you run, your plan, and a log of what you do in the app (which pages you open and which features you use), each tied to your account. At sign-up we save which link or ad brought you here (the tags on the link, the site you came from and the first page you landed on). We use this to run your account, fix problems, and see which posts and ads work. This part of our own record is not switched off by the cookie banner, which only controls the outside tools in "Cookies and tracking." Your email is never sold or used for advertising. The vendors that process it for us are listed on the "Who we share your data with" page.

3. Coaching transcripts

Transcripts you submit for AI evaluation are sent to Anthropic's Claude API for processing. We keep the transcript itself for 30 days after your report is ready, so you can come back to it with the Evaluation Tutor. Then we delete the full transcript. One optional exception: you can switch on "Keep my transcripts" under Account, then Privacy, to keep it longer and track your progress. If you do, we store the full transcript of each evaluation you run after that until you delete it yourself, which you can do any time from that evaluation. Your client's permission for the evaluation does not cover this longer storage, so keeping it is your own choice. Your report and scores are not affected either way. The report, including the lines it quotes from your session as evidence, is saved to your account so you can come back to it later under Past Evaluations. Those quoted lines are not deleted at 30 days. The report is also emailed to you, with a PDF that includes the full annotated transcript. See "How your data is handled" above for who else can see that.

If you want your own copy of the document you pasted or uploaded, download it at the time you submit, before it's scored, using the "Download a copy of my transcript" button.

We strongly recommend removing your client's full name and all identifying details before submitting any transcript. Use initials or "the client" instead.

A transcript is a record of your real client's coaching session, not just your own words. The ICF Code of Ethics puts the responsibility on you, the coach, to have your client's informed consent before sharing details of a session with anyone else, including a tool like this one. When you submit a transcript, you're confirming you have that consent.

4. Your data across devices

If you're signed in, your practice scores, session preferences, and evaluation history are saved to your account so they follow you across devices. If you're using CredentialPrep without signing in, that data lives only in your browser's localStorage and never reaches our servers. Theme settings always stay local to your browser.

5. Cookies and tracking

If you are in the United States, we load Google Analytics, Google Ads, Microsoft Clarity and PostHog by default, and our cookie banner lets you opt out. If you press Opt out, none of them load. If you are anywhere else, or we cannot tell where you are, we ask first: they load only if you press Accept on the banner, and if you press Decline, none of them load. We work out your country from the location information our hosting provider attaches to your request. You can change your choice any time with the Cookie settings link at the bottom of the page. We use Netlify for hosting (their CDN may log anonymized request metadata).

Google Analytics and Microsoft Clarity show us which pages people visit and how they move around the site, and Clarity also records screen sessions. Google Ads shows us whether a visit came from one of our ads and whether it led to a purchase, and it can let Google show our ads to people who visited.

PostHog, which follows the same rule, tracks which features you click, so we can improve them. We do not track keystrokes, message contents, or coaching session content. Logged events include things like which tabs you open, whether you click Play, and which annotations you add. Your account's user ID is attached to these events so we can see usage patterns. We do not send your email address or your name to PostHog. This data is not sold. PostHog stores it for us.

6. Payments

All payments are processed by Stripe. CredentialPrep never sees or stores your payment card details. Stripe's privacy policy applies to payment data.

7. Data retention

We keep your transcript on our servers for 30 days after your evaluation is scored, so you can come back to it with the Evaluation Tutor. Then we delete the full transcript. If you upload a recording to be transcribed, we keep that audio for 30 days after you upload it, then delete it. Your report stays in your account, including the lines it quotes from your session as evidence, since that's how you keep and revisit your own evaluations.

Your report is also emailed to you, through a vendor called Resend, with a PDF attached that includes the full annotated transcript. That PDF is yours, in your inbox, and we cannot delete it from there. Resend keeps their own copy of that email, including its content, for 30 days while our account with them stays active, which is the same length as our own 30-day window for your transcript. See "Who we share your data with" for what that vendor sees.

Your email is retained for as long as you have an active subscription. You can delete your account and all associated data yourself at any time from Account settings, or by emailing credentialprepicf@gmail.com.

8. Your rights

You may request access to, correction of, or deletion of any personal data we hold about you. Contact us at credentialprepicf@gmail.com. We will respond within 5 business days.

9. Mentor Coach beta signup

If you sign up for Mentor Coach beta access, we record your IP address and a basic device fingerprint (a technical signature built from your browser and device settings) along with your name and email. This is used only to catch someone creating more than one beta account from the same device.

Mentor Coach is different from the rest of this policy in one important way: a session transcript submitted here is read by a real person, your assigned mentor, not just by the AI, because that is the whole point of a mentor evaluating your session. Treat it with the same care described in "Coaching transcripts" above: remove identifying details you don't need to share, and only submit a transcript for a session your client has consented to being reviewed this way.
